Greetings Cedar Volunteers!
The first of the new season’s show are nearly upon us, and it is time for the first of the detailed listings of shifts that are available. You are encouraged to email me back with as many of the shifts as you would like to work for (give preferences 1, 2, 3, in case your first choice is taken). Phone also works, but is usually slower for me to respond. I will also post a listing of available shifts on the new Cedar web site in the Volunteer Group section, and will update as frequently as I am able. Initially I will just post a copy of this email there. Long term we may get more sophisticated (ie online signups), but this is where we are at right now.

OK, here’s my new initiative for the new season: organize! Organize volunteers that is (my desk will come later), into crack street teams that can help get the word about Cedar shows to all the right places in the Twin Cities (and beyond, as appropriate).

This is what I have in mind:
1. Check out the list of zip codes below (or add in your own).
2. Choose a zip code (where you live, where you work, or where you play or for other reason frequent and/or know well).
3. Let me know your choice so I take it out of the pool of available zip codes, leaving the remainder there for other volunteers to choose.
4. You get added to a special email list which gets notified whenever I have a bunch of promo materials ready to get distributed. Ideally you will be available once a month to stop by the Cedar (it can work in with other shifts you are working here, or you can schedule a time with me when I will be here) to pick up materials. An alternative for those who prefer it: some materials will be available as pdf files that you can email me for (once I figure out how to do this, I will also post pdfs on the Cedar web site in the volunteer group), and then you print out on your own printer as your material in preparation for posting.
5. You go out, on your own schedule, and to whatever capacity you are able, and distribute materials—Cedar newsletters, posters, postcards, 1/4 page handbills, whatever publicity materials I can muster. The ideal situation is you build a relationship with the various places in your zip code that are receptive to receiving our materials, and it becomes a monthly habit to pop by and leave our materials there. Occasionally there will be materials that will benefit from being left at places that with your local knowledge you can identify as being especially appropriate (e.g. posters for Indian slide guitarist Debashish Bhattacharya (of which we have many at present) might well be left preferentially at Indian restaurants or grocery stores in your zip).
6. It is important to make sure we preserve the good name of the Cedar, and you agree not to post in places where we don’t have permission (no telephone poles etc)--always ask first before leaving materials. Some places (eg libraries) may require an official request from the Cedar—I am happy to help with these situations, but always try to resolve it yourself, since you are acting as agents of the Cedar.
7. Tell me how much time you spend on the task (including time it takes you to stop by the Cedar to pick up materials, or to print pdfs—each pdf you print yourself and post is worth 5 minutes credit), and you will gain double credit. So, 1 hour spent distributing posters etc in your neighborhood, plus printing 12 pdf’s would equate to two hours times two, or half a volunteer pass. I will keep records of your passes earned here in the office—simply contact me if you wish to use a pass; periodically I will mail out passes you have earned from being part of the street team—or you can pick up passes/get passes signed when you stop by to pick up materials. I am expecting on average it will take a volunteer about 2 hours/month to perform typical street team duties, but recognize that some zip codes will take longer and some less. This is an experiment with no preconceived “right” answers.
8. We understand that your coverage will be incomplete, and may well vary from month to month, according to how much time you have available. This is fine—my goal is simply to improve our coverage in areas that currently receive little or no information on our shows, and the best way to do this seems to be to focus the resources we have (that is you!) in a more structured fashion that we have done in the past.
9. If you can’t do your zip for a month (or more), let me know and I’ll see if anyone on a backup list can take over for the period you are busy. For this reason, backups will be very welcome! Also, some zip codes may be too large for one person to cover adequately.
10. At some point, it would be great to gather the information on where you are posting. I am expecting that the way this will work, after a month or so, I will send out to you an Excel spreadsheet with spaces for name of organization, street address etc, and you will fill in and email back to me as part of our effort to strengthen our informational resources.

Let’s see how this goes; any progress is better than no progress (i.e I am not expecting every zip code will suddenly get inundated with Cedar materials, but hopefully a few will be...). It is my conviction that the single best thing we can do to ensure the long-term vitality of the Cedar is to increase our attendance at every show, and I can think of no better way than by getting the word out. Advertising is one way, but very expensive (beyond the current resources of the Cedar). The street team plan is another way that more accurately recognizes the true wealth of the Cedar—the goodwill of numerous volunteers and supporters. I’m also hoping this will be quite a fun addition to the Cedar volunteer opportunities, one that gets you out and about and exploring nooks and crannies in your own neighborhood, and strengthening your own connections to local community. For some people it might be easier to contribute in this way than by coming out in the evenings to volunteer at shows. Thanks!
